AI features are on Pro, not Free
Cito AI answers questions such as “How much holiday do I have left?” from your own CitoHR records and published policies. On Pro, an admin adds your organisation’s own Google Gemini API key, and Google bills that usage. Pro Plus includes AI usage. Claude, ChatGPT and Copilot can also connect through MCP to read HR information and submit leave requests.

Pro is billed monthly, with no long-term contract.
Free plan or 14-day Pro trial
The Free plan is permanent for teams of up to 5. The 14-day trial is of Pro and needs no card, so nothing is charged unless you choose to subscribe. If you don’t, Pro features stop when the trial ends.

Everything you need to know about CitoHR pricing
Is the Free plan the same as the free trial?
No. The Free plan is permanent and costs nothing for teams of up to 5 active employees. It covers employee records, leave, holiday and sickness, documents and policies, expenses, training and equipment, with 1GB of document storage. The free trial is a 14-day trial of Pro, so you can try onboarding workflows, scheduling, timesheets, reports, the AI assistant and the other Pro features before deciding.
What happens when the Pro trial ends?
No card is taken when you sign up, so the trial cannot turn into a paid plan on its own. When it ends, CitoHR asks an admin to choose a plan before the team carries on: subscribe to Pro, or switch to the Free plan. To use the Free plan, you need 5 or fewer active employees, so a larger team would deactivate people first or subscribe.
What's included in the Pro trial?
The trial includes the Pro features listed above, including onboarding workflows, scheduling, timesheets and advanced reporting. To use the AI assistant on Pro, an admin adds your organisation's own Google Gemini API key. No credit card is required to start.
How does per-employee pricing work?
Pro is £3 per seat per month. When you subscribe, you choose the number of seats, with at least one for each active employee, and every seat is charged, including the first five. A team of 3 on Pro pays £9 a month; a team of 25 pays £75. You can add seats later from the billing portal. The Free plan is separate: it is £0 for teams of up to 5 active employees, with fewer features.
Is there a plan above Pro?
Yes. Pro Plus includes everything in Pro, plus 20GB of document storage, AI usage without adding your own API key, applicant tracking, and the option for an admin to create further organisations, each billed separately. You can compare it with the other plans on the billing page inside CitoHR, or email us for details.
Can I cancel my subscription anytime?
Yes, you can cancel at any time. There are no long-term contracts or cancellation fees. When a paid subscription ends, CitoHR is locked until an admin renews it or switches to the Free plan. You can still ask us to export your data for 30 days, including while it is locked. Email support@citosoft.co.uk.
Are there any setup or hidden fees?
There is no setup fee. You pay the per-employee price for your plan, billed monthly.
What payment methods do you accept?
Checkout takes credit and debit cards, processed by Stripe.
Do you offer annual billing?
Not at the moment. Pro is billed monthly, and checkout doesn't offer an annual option. If annual billing would suit your organisation better, email sales@citosoft.co.uk.
