Employee Directory

Complete guide to finding and viewing employee information in the company directory.

Overview

The Employee Directory provides a searchable list of all employees in your organization. You can find colleagues, view their contact information, see their department and role, and access their profiles.

Accessing the Directory

  1. Log in to your CitoHR account
  2. Click on Directory in the main navigation menu

Searching for Employees

Find specific employees quickly:

  1. On the Directory page, locate the search bar at the top
  2. Type the employee's name (first name, last name, or both)
  3. Or type their email address
  4. The directory will filter results as you type
  5. Click on an employee to view their profile

Filtering the Directory

Narrow down the directory by various criteria:

  1. On the Directory page, look for filter options
  2. Filter by:
    • Department - Show only employees in specific departments
    • Role - Filter by USER, MANAGER, or ADMIN
    • Status - Show Active, Inactive, or All
    • Location - If your organization tracks locations
  3. Select one or more filters
  4. The directory will update to show only matching employees
  5. Click "Clear Filters" to reset

Viewing Employee Information

Each employee card shows key information:

  • Profile Photo - Employee's profile picture
  • Name - Full name
  • Job Title - Current position
  • Department - Department assignment
  • Email - Email address
  • Phone - Phone number (if visible)
  • Manager - Direct manager name

Accessing Employee Profiles

View detailed employee information:

  1. Find the employee in the directory
  2. Click on their name or profile card
  3. The employee's full profile will open
  4. You can view:
    • Complete contact information
    • Employment details
    • Department and role
    • Manager information
    • Other profile sections (depending on permissions)

Contacting Employees

Get in touch with colleagues:

  1. Find the employee in the directory
  2. Click on their profile card
  3. Use the contact options:
    • Email - Click the email address to open your email client
    • Phone - Click to call (on mobile) or copy the number
    • Message - If internal messaging is enabled

Understanding Directory Layout

The directory can be displayed in different layouts:

  • Grid View - Cards arranged in a grid (default)
  • List View - Compact list format
  • Table View - Detailed table with sortable columns

Sorting the Directory

Organize employees by different criteria:

  1. Look for the sort dropdown or column headers
  2. Sort by:
    • Name (A-Z or Z-A)
    • Department
    • Job Title
    • Date Joined
  3. Click to sort ascending or descending
