Leave Management

Manage employee leave requests, track balances, and maintain leave policies all in one place.

CitoHR provides comprehensive leave management for both employees and administrators. Employees can view their leave balance, submit requests, and track their leave history. Administrators can configure leave policies and manage organization-wide leave settings.

Employee Leave Page

The employee leave page provides a complete overview of your leave entitlement and requests:

Leave Allowance Overview

View your leave balance at a glance with five key metrics:

  • Total Allowance - Your annual leave entitlement
  • Used - Leave days already taken
  • Requested - Leave days in pending requests
  • Adjustments - Additional or deducted days (with details)
  • Available - Remaining leave balance

The allowance is calculated based on your organization's business year, which is displayed above the metrics.

Leave Requests

Manage your leave requests with tabs to filter by status:

  • All - View all leave requests
  • Pending - Requests awaiting approval
  • Approved - Approved leave requests
  • Rejected - Rejected leave requests

Each request shows the date range, duration, leave type, and status. Pending requests can be edited or deleted before approval.

Creating Leave Requests

Click "New Request" to create a leave request. You'll need to provide:

  • Start Date - First day of leave
  • End Date - Last day of leave
  • Leave Type - ANNUAL, SICK, UNPAID, MATERNITY, PATERNITY, BEREAVEMENT, or OTHER
  • Notes - Optional notes about the leave request

Leave Adjustments

View active leave adjustments that have been applied to your account. Adjustments can be:

  • Additional - Extra days added to your allowance
  • Deduction - Days deducted from your allowance
  • Carry Over - Days carried over from previous year
  • Other - Other types of adjustments

Each adjustment shows the number of days, reason, date range, and status (ACTIVE, EXPIRED, or CANCELLED).

Admin Leave Management

Administrators can configure organization-wide leave settings through the Leave Management page. Settings are organized into five sections:

General Settings

  • Year Start - Month when the leave year begins
  • Allow Leave Carry Over - Enable/disable carry-over of unused leave
  • Carry Over Limit - Maximum days that can be carried over (if enabled)

Entitlements

Set the number of days employees are entitled to for each leave type:

  • Annual Leave
  • Sick Leave
  • Personal Leave
  • Parental Leave
  • Other Leave

Policies

Configure leave request rules and restrictions:

  • Minimum Notice Period - Days in advance required for requests
  • Maximum Consecutive Days - Maximum days in a single request
  • Maximum Team Leave - Maximum percentage of team on leave at once
  • Require Manager Approval - Whether manager approval is required
  • Allow Half-Day Leave - Enable half-day leave requests
  • Blackout Dates - Dates when leave cannot be taken

Notifications

Configure who receives notifications for leave-related events:

  • Notify Manager on Request
  • Notify Employee on Approval
  • Notify Employee on Rejection
  • Notify Team on Leave
  • Reminder Days Before Leave

Accrual

Configure how leave is accrued over time:

  • Accrual Method - Frontloaded, Monthly, or Quarterly
  • Probation Period - Months before full accrual
  • Pro-Rated Accrual - Enable pro-rating for part-time employees
  • Maximum Accrual Balance - Maximum days that can be accrued
  • Allow Negative Balance - Allow employees to take more leave than accrued

Leave Approval

Managers and administrators can approve or reject leave requests. Pending requests appear in the manager dashboard and can be approved from there. Employees receive notifications when their requests are approved or rejected.
