Scheduling

Complete guide to viewing your work schedule, requesting shift changes, and managing your availability in CitoHR.

Overview

The Scheduling feature allows you to view your work schedule, see assigned shifts, request schedule changes, and manage your availability. Schedules are based on your working pattern and any specific shift assignments.

Accessing Your Schedule

  1. Log in to your CitoHR account
  2. Click on My Schedule or Scheduling in the main navigation menu

Viewing Your Schedule

See your work schedule in different views:

  1. On the Schedule page, you'll see your schedule displayed
  2. Switch between views:
    • Month View - See the entire month
    • Week View - Detailed week view with time slots
    • Day View - Single day detail
  3. Navigate between weeks/months using arrow buttons
  4. Click on any shift to view details

Understanding Shifts

Your schedule shows different types of shifts:

  • Regular Shifts - Your standard working hours based on your working pattern
  • Assigned Shifts - Specific shifts assigned by your manager
  • Overtime - Additional hours beyond your regular schedule
  • Time Off - Leave or absence periods

Requesting a Shift Change

Request to swap or change a shift:

  1. Navigate to the Schedule page
  2. Find the shift you want to change
  3. Click on the shift
  4. Click "Request Change" or "Swap Shift"
  5. Fill in the request:
    • Select the shift to change
    • Choose new date/time (if applicable)
    • Select a colleague to swap with (if swapping)
    • Add a reason for the change
  6. Click "Submit Request"

Viewing Your Availability

See when you're available for work:

  1. On the Schedule page, look for "Availability" section
  2. View your set availability patterns
  3. See any temporary availability changes
  4. Check for conflicts with assigned shifts

Updating Your Availability

Change when you're available to work:

  1. Navigate to the Schedule page
  2. Click "Update Availability" or "Set Availability"
  3. Select the days and times you're available
  4. Set start and end dates for the availability period
  5. Add any notes if needed
  6. Click "Save Availability"

Viewing Team Schedule (Managers)

As a manager, view and manage your team's schedules:

  1. Navigate to Admin > Scheduling
  2. View all team members' schedules in one view
  3. See:
    • All assigned shifts
    • Coverage gaps
    • Overtime assignments
    • Pending shift change requests
  4. Assign new shifts or approve shift changes

Assigning Shifts (Managers)

Assign shifts to team members:

  1. Navigate to Admin > Scheduling
  2. Click "Assign Shift" or click on an empty time slot
  3. Fill in the shift details:
    • Select team member
    • Choose date and time
    • Set shift duration
    • Add shift type or notes
  4. Click "Assign"
  5. The team member will be notified of the new shift

Understanding Working Patterns

Your schedule is based on your working pattern:

  • Full-time - Standard full-time hours (typically 37.5-40 hours/week)
  • Part-time - Reduced hours
  • Flexible - Variable hours
  • Shift Pattern - Rotating shifts
