Reports & Analytics

Complete guide to generating and viewing reports and analytics in CitoHR.

Overview

The Reports & Analytics feature provides comprehensive reporting capabilities for various aspects of your organization. Generate reports on leave, attendance, expenses, employees, training, and more. View analytics dashboards and export data for further analysis.

Prerequisites

  • You must be logged in to your CitoHR account
  • Report access depends on your role and permissions
  • Admin or Manager role typically required for most reports

Accessing Reports

  1. Log in to your CitoHR account
  2. Click on Reports or Analytics in the main navigation menu
  3. You'll see the reports dashboard with available report types

Viewing Available Reports

See what reports you can generate:

  1. On the Reports page, you'll see different report categories:
    • Leave Reports - Leave usage, balances, trends
    • Attendance Reports - Attendance patterns, absences
    • Employee Reports - Employee data, demographics, turnover
    • Expense Reports - Expense claims, spending analysis
    • Training Reports - Training completion, progress
    • Performance Reports - Review completion, feedback
    • Custom Reports - Custom report configurations
  2. Click on a report category to see available reports
  3. Each report shows a description and preview of what it contains

Generating a Leave Report

Create a report on leave usage:

  1. Navigate to Reports > Leave Reports
  2. Select the type of leave report you want:
    • Leave Balance Report
    • Leave Usage Report
    • Leave Trends Report
    • Leave Approval Report
  3. Configure report parameters:
    • Date Range - Select start and end dates
    • Department - Filter by department (optional)
    • Employee - Filter by specific employees (optional)
    • Leave Type - Filter by leave type (optional)
  4. Select output format:
    • View in browser
    • Export to PDF
    • Export to Excel/CSV
  5. Click "Generate Report" or "Run Report"
  6. The report will be generated and displayed

Generating an Attendance Report

Create reports on employee attendance:

  1. Navigate to Reports > Attendance Reports
  2. Select attendance report type:
    • Daily Attendance
    • Monthly Attendance Summary
    • Absence Report
    • Late Arrival Report
  3. Set report filters:
    • Date range
    • Department or employee filters
    • Attendance status filters
  4. Click "Generate Report"
  5. Review the generated report

Generating an Employee Report

Create reports on employee data:

  1. Navigate to Reports > Employee Reports
  2. Select employee report type:
    • Employee Directory
    • Employee Demographics
    • Employee Turnover
    • New Hires Report
    • Terminations Report
  3. Configure filters:
    • Department
    • Role
    • Employment status
    • Date range (for turnover/hires)
  4. Select which fields to include in the report
  5. Click "Generate Report"

Viewing Analytics Dashboard

Access visual analytics and insights:

  1. On the Reports page, click "Analytics Dashboard" or "Dashboard"
  2. You'll see various analytics widgets showing:
    • Key metrics and KPIs
    • Charts and graphs
    • Trends over time
    • Comparative data
  3. Use date range filters to adjust the time period
  4. Click on charts to drill down into details
  5. Export dashboard data if needed

Exporting Reports

Save reports in different formats:

  1. After generating a report, look for export options
  2. Click the "Export" button or dropdown
  3. Select export format:
    • PDF - For printing or sharing
    • Excel (XLSX) - For data analysis
    • CSV - For importing into other systems
  4. The file will download to your device
  5. Open the file in the appropriate application

Scheduling Reports (Admin)

Set up automatic report generation:

  1. Navigate to Admin > Reports
  2. Create or configure a report
  3. Click "Schedule Report" or "Set Schedule"
  4. Configure schedule settings:
    • Frequency - Daily, Weekly, Monthly, Quarterly, Annually
    • Day/Time - When to generate
    • Recipients - Who should receive the report
    • Format - PDF, Excel, or CSV
  5. Click "Save Schedule"
  6. The report will be automatically generated and sent on the schedule

Creating Custom Reports (Admin)

Build custom report configurations:

  1. Navigate to Admin > Reports > Custom Reports
  2. Click "Create Custom Report"
  3. Configure report settings:
    • Report Name - Enter descriptive name
    • Data Source - Select what data to report on
    • Fields - Choose which fields to include
    • Filters - Set default filters
    • Grouping - How to group data
    • Sorting - Default sort order
  4. Preview the report to verify it looks correct
  5. Click "Save Report"
  6. The custom report will be available in your reports list

Viewing Report History

Access previously generated reports:

  1. On the Reports page, click "Report History" or "History"
  2. You'll see a list of previously generated reports
  3. Each entry shows:
    • Report name
    • Generation date and time
    • Generated by (who created it)
    • Download link
  4. Click on a report to view or download it again
